# Online store budget: how to compare quotes correctly

## In short

Compare e-commerce offers by the same scope and for the same period. Include content, product data, payments, shipping, licenses, and post-launch work. The lowest upfront price can be a good choice, but only if you know what remains on your side and what will be billed separately.

## How a ten-product store becomes a big project

Ten products sound like a small catalog. But if each has sizes, colors, different images, and stock levels, the work is a different story. Add two languages, delivery to office and address, online payments, and exchange with an inventory system. The number of products does not describe the complexity well enough.

The reverse is also possible. A larger catalog with organized data and a standard checkout can be easier to enter than a small but unprepared one. That is why the price should not be compared only by “up to one hundred products” or “up to five pages”.

Before requesting quotes, choose a few real products, including one with the most complex common variants. Prepare the available images and data. Show how you handle orders now and what you want to change. This gives the contractor a much better basis than a list of feature names.

## Split the budget into four parts

The first is the build: structure, design, development, and setup. The second is the content: descriptions, photos, categories, translations, and data entry. The third is the environment: hosting or plan, domain, licenses, and external services. The fourth is post-launch work: support, monitoring, improvements, and daily processing.

This split shows why two equal sums can cover very different projects. One offer includes only a technically ready store. The other also includes catalog preparation. If you compare only the total line, you may miss weeks of work that will remain on your team.

Not everything is a cost to the agency. Product photography, payment fees, courier services, and warehousing are separate dependencies. The goal is to see them in the total budget without automatically assigning them to the website contractor.

## What exactly should the client receive

For each important feature, describe the action and the result. The customer selects size and color, sees the correct image and stock level, adds the product, and chooses delivery. After payment, they receive confirmation, and the team sees the order. This is clearer than “a store with variations and integrations”.

If there are coupons, discounts, or different prices for businesses, define the rules. Can they be combined? What happens when a product is returned? Which system is the main source for stock levels? Extra development often comes from these details, not from the button itself.

If your product data does not yet contain this information, it needs to be prepared and checked. The platform cannot guess it.

## Offer comparison table

Fill it in with the exact terms from the proposals. If something is missing, ask a question. Do not automatically assume it is included just because it appears in a demo store.

Add the necessary services that will not be bought from the same provider. This will give you a total launch budget and a separate view of the following months. If the quote includes a specific hosting or support period, note it without counting it twice.

## Example: cheaper build, more expensive first year

Let two proposals cover the same mandatory features. The first is 1200 euros for development, but catalog entry costs another 400 euros, licenses are 180, and hosting plus the agreed support for the year are 420. The total for these items is 2200 euros.

The second is 1900 euros with the catalog included and the same period of hosting and support, plus 100 euros in external licenses. The total for these items is 2000 euros. These are sample figures chosen for comparison, not quotes from 88Lab or market averages. In both cases, VAT is treated the same.

The calculation shows why the initial amount is not enough. Before drawing conclusions, you also need to compare the quality of the included tasks. “Support” in one proposal may mean updates, while in another it may also include content entry. The same name does not guarantee the same work.

We did not include photography, advertising or order-related costs because in the example they are the same or are set separately. In your calculation, they may change the decision. Add them if one option requires different organization or higher ongoing fees.

## What can wait

The first launch needs a clear offer, a correct catalog, an easy ordering process and reliable processing. Often, a complex loyalty program, additional markets or features for which there is no real demand yet can wait. That does not make them unnecessary forever. It just means not every idea should be funded before the first sale.

A deferred feature should have a path to add it later. If you plan a second language or inventory integration, say so from the start, even if it is not part of the first stage. That way, the choice of platform and structure will not block an important future option.

Do not delay security, backups and order checks as “extras.” They are part of a working launch. With WooCommerce, for example, infrastructure and updates need an owner. ## The cost of unprepared content

Images with different proportions, incomplete descriptions and product tables with conflicting data require extra work. If this is not included, your team must do it. Estimate the time needed to prepare one representative product and apply it to the required catalog, setting aside the more complex cases.

Import does not replace verification. Data may transfer successfully but still have the wrong category, a missing image or an unsuitable variant. Check a sample set before the full catalog. That is cheaper than fixing hundreds of records after publishing.

When updating an existing store, add redirects between URLs, preserve important pages and data. Migration is a separate task and should be visible in the scope when needed.

## Before the final decision

Ask to see how you will receive the work. A test order, variant checks, delivery, payment, notifications, and admin are more meaningful than a generic “the store is ready.” Also clarify how identified defects are handled after launch.

Check who controls the domain, accounts, and licenses. Find out how products and orders will be exported if you later change partners. Choose the offer where the sum, tasks, and responsibilities can be tracked. If the budget is not enough, reduce the agreed scope instead of leaving key tasks undescribed. A smaller, finished store gives a better foundation than a large project with an unclear ending.
